Privacy policy

Last updated 17 October 2026.

This policy explains what Seats Plan collects, why, who helps us run it, and what you can ask us to do with your information. If anything here is unclear, email hello@seatsplan.com.

Who we are

Seats Plan (seatsplan.com) is run by RusbyDigital Ltd, a company registered in England and Wales (company number 15816831), whose registered office is Unit 13 Freeland Park, Wareham Road, Lytchett Matravers, Poole, BH16 6FA. We are registered with the Information Commissioner's Office under number ZB797557.

For your account, we are the controller of your personal data. You can reach us at hello@seatsplan.com.

What we collect about you

  • Your account: your name, your email address and your password. We store the password only as a one-way hash, so nobody at Seats Plan can read it.
  • Your plans: the events you create, with their tables, the room layout, and the guests you add (see the next section).
  • Payments: when you unlock Pro, Stripe takes your card details on its own payment page. We never see or store them. We keep your Stripe customer reference, which events you've paid for and when.
  • Emails we send you: such as password reset links, which go out through our email provider.
  • Technical records: our hosting keeps server logs of requests to the site, including IP address, browser type and the pages asked for. We use them to keep the service secure and to fix problems.

We don't use analytics or advertising tools, and we don't sell your information.

Your guests' information

Your plan holds details about your guests that you choose to add: their names, which group they're in, who their partner is, who they should be kept apart from, and where they sit. You decide what goes in, and we only use it to run the planner for you. We don't contact your guests or use their details for anything else.

Please only add what you need for the seating plan.

Why we use your information

  • To provide Seats Plan: your account, your plans and Pro purchases. This is necessary to perform our contract with you.
  • To keep the service safe and working: security, troubleshooting and preventing misuse. This is in our legitimate interests.
  • To meet legal duties: such as keeping payment records for tax.

Who helps us run Seats Plan

These providers handle data for us, only to provide their service:

  • Laravel Cloud: hosts the app and its database, in the London region.
  • Cloudflare: runs our domain and protects the site, and forwards email sent to hello@seatsplan.com.
  • Stripe: takes payments for Pro.
  • Resend: sends our emails, from servers in Ireland.
  • Google Search Console: shows us how our pages appear in Google search. It doesn't tell us anything about you.

Some of these companies are based in the United States. Where your data leaves the UK, we rely on the safeguards UK law provides, such as the UK–US data bridge or standard contractual clauses.

Cookies

We only use cookies the site needs to work:

  • seats-plan-session, with a second cookie whose name is a random string of letters and numbers, keeps you signed in and holds your session. Both are encrypted and expire after two hours of inactivity or when you sign out.
  • remember_web_ followed by a string of letters and numbers is set only if you tick Keep me logged in. It keeps you signed in on that device for up to 400 days, or until you sign out.
  • XSRF-TOKEN protects forms against cross-site request forgery.
  • __cf_bm is set by Cloudflare to tell people apart from automated bots. It lasts 30 minutes.

We don't use analytics, advertising or tracking cookies, so we don't need to ask for your consent. When you pay, Stripe's payment page sets its own cookies under Stripe's own policy.

How long we keep it

  • Your account and plans: until you delete your account. Deleting it (Account settings, then Delete account) removes your events and their guests straight away. Our database keeps a recovery copy for up to a day before it's gone.
  • Payment records: six years, because tax law requires it.
  • Server logs: only for a short time, for security and troubleshooting.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of your information
  • correct anything that's wrong
  • delete your information
  • restrict or object to how we use it
  • give you your information in a format you can take elsewhere

Email hello@seatsplan.com and we'll reply within a month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.

Children

Seats Plan is for adults planning an event. We don't knowingly create accounts for anyone under 18.

Changes to this policy

If we change this policy, we'll update the date at the top. If a change affects you in a significant way, we'll email you.
